Terms and Conditions
These Terms & Conditions apply to all commission projects undertaken by Top Miniatures. By paying the deposit, the client confirms they have read, understood, and agreed to the terms below.

Payment Methods
We accept online payments by credit or debit card through Stripe (an online card payments processor), or payments made by bank transfer. A 3% discount is applied to payments made via bank transfer.

Reserving a Slot in Our Schedule
To reserve a project slot in our schedule, a deposit consisting of 50% of the labour cost plus 100% of any material costs (such as miniatures or 3D printing files) is required. A slot is considered reserved only after the deposit has been received. Shipping miniatures to us without payment of the deposit does not reserve a slot in our schedule. Work will not begin until the deposit has been paid in full.

Cancellations & Refunds
If the client cancels the order after work has started, the deposit is non-refundable. If the project cannot proceed due to circumstances outside the control of both parties (such as supplier issues, shipping problems preventing the miniatures or required materials from reaching us, illness, or other unforeseen events), a full refund will be issued, minus any non-refundable payment processing fees charged by the payment processor. This applies only if the miniatures or required materials have not arrived within 90 days from the date of payment, or if confirmation is received from the supplier or shipping company that delivery is not possible or the order cannot be fulfilled.

Timelines
All estimated timeframes are approximate. We always strive to meet them, but delays may occur due to shipping issues, supplier delays, client response time, or unforeseen circumstances. Clients will be informed if this happens.

Customs & Import Fees
The client is responsible for all customs duties, import taxes, or brokerage fees. Any customs charges, VAT, or brokerage fees incurred by Top Miniatures when receiving client-shipped miniatures must be reimbursed by the client and will be added to the final invoice.

Client-Supplied Models
If pre-assembled models require additional preparation (mould line removal, glue cleanup, gap filling, repairs), additional fees will apply.

Instructions & Revisions
All project specifications (colors, poses, assembly details) are recorded in a Google document shared between both parties, and all specifications will be followed accordingly. Minor adjustments — such as small detail corrections or simple refinements — are included in the price. Major changes that deviate from the original brief will incur additional costs and may extend the timeline.

Artistic Standards
Work is completed according to the selected painting level, as presented on our website. Due to the handmade nature of miniature painting, minor variations are natural. While reference images are followed closely, exact replication cannot be guaranteed.

3D Printing
The client confirms they hold legal rights to any 3D print files provided.

Completed Projects
Once a project is completed, and before shipping the miniatures to the client, the final payment must be made within 14 days. Projects not paid within this period may be subject to storage fees. If a project remains unpaid and the client is unresponsive for more than 60 days after completion, Top Miniatures reserves the right to resell or repurpose the miniatures to recover costs.

Packaging & Leftover Parts
Original boxes, leftover sprues, and any unused parts from the miniatures will not be returned unless explicitly requested by the client prior to shipment. These items may otherwise be discarded. If return is requested, additional shipping costs may apply due to increased package size and weight.

Shipping & Liability
While we take extreme care in packing your miniatures to ensure they arrive safely, Top Miniatures is not responsible for damage or loss caused by courier services once a package is dispatched. For high-value projects, we recommend adding shipping insurance, available upon request for 2% of the total order value.

Media Rights
Top Miniatures reserves the right to photograph or record the process of working on the miniatures, and the completed miniatures, and may use the content for portfolio, website, social media, and promotional purposes.
